Bulletproof Print Files: Avoid the Mistakes That Slow Your Print Down

How to Prepare Artwork for Print | Bulletproof Print Files Guide

If your print job ever came back looking softer, fuzzier or not as expected, the problem often starts in the supplied file. Knowing how to prepare artwork for print properly prevents most common print issues before they reach the press.

At Gemini Print Solutions, we see it every day: strong creative work let down by small technical oversights. The good news is most problems are completely preventable with just a few straightforward checks, or by letting us handle them for you!

Below is a practical guide to getting your artwork truly press-ready.

Why bulletproof files matter?

A press will reproduce exactly what it is given. It cannot fix: low-resolution images, bleed, missing fonts, ultra-thin lines or rich-black text used incorrectly.

When your files are built properly you get: faster turnaround, fewer amends, more reliable campaign performance, cleaner and sharper print quality.

For teams working to tight deadlines, that reliability is everything.

How to Prepare Artwork for Print: A Quick Checklist

1. Black text? Use 100% K.
If it’s small body copy, set it to 100% K. Don’t build body text from CMYK. It looks fine on screen but on press any tiny misregistration turns crisp type into a fuzzy edge. Save rich black mixes for big solids and backgrounds, not small type.

2. Ditch hairline rules.
If your rule is thinner than 0.25pt, increase it. For anything important, make it 0.5pt. On press, ultra-fine lines break, disappear or print unevenly; especially on coated stocks.

3. Always give us at least 3mm bleed.
Anything that goes to the edge needs bleed. Extend backgrounds and images beyond the trim by 3mm so trims don’t leave white slivers. It’s quick to set up and avoids an ugly finish.

4. Embed (or outline) fonts.
Missing fonts = substituted layouts = brand grief. Either embed fonts in the PDF or, where appropriate, outline the text. Don’t trust automatic font swaps.

5. Images at 300 dpi at final size.
If it’s not at least 300 dpi at the size it will print, it won’t look as sharp. Placing low-res web images and scaling them up is the single most common cause of pixelation. Make sure you have high resolution images on your print file!

6. The use of RGB Colour vs CMYK
We print in CMYK – RGB is a screen colour. A lot of disappointments with colour in print is often caused by working/supplying artwork in RGB. We convert all your artwork to CMYK as standard practice for printing. But be aware this sometimes causes duller colours, therefore it is always best to work in CMYK. Feel free to read more about CMYK colours here

7. Check separations and switch off dielines.
Preview separations to confirm colours, black builds and any spot inks. And please: dielines are for production, not printing make sure that layer is either hidden or set up as a separate colour and overprinting before exporting.

8. Export a press-ready PDF from Adobe.
Use a press-quality PDF preset, include at least 3mm bleed with crop marks, embed all fonts and export in CMYK. Flatten transparency if needed. It’s not glamorous, but it saves days of back-and-forth.

If you’d rather not deal with the technical side of preparing artwork for print, we can help.

Checking files for potential issues can be time-consuming, particularly if you are not familiar with the technical requirements of print production. Many people assume that what they see on screen will translate perfectly to print, but small issues can easily slip through.

At Gemini, our Creative Director and studio team review files like this every day. They know what commonly causes problems and run detailed checks to make sure everything is set up correctly before going to press. If something in your artwork is not quite right, we will flag it early and either fix it for you or guide you through the changes.

If you need additional support, our creative design team can also help develop and prepare artwork from the start, ensuring everything is optimised for professional print results. You can learn more about our creative design services here.

Think of us as an extension of your team. We help finalise your artwork for print with precision, reliability and attention to detail.
